A company holiday party timeline, week by week
Rentals are rarely the part of a company party that needs the longest run-up. Same-day preparation is possible when the pieces are free. The reason to start early is to secure the exact pieces you want.

Six to eight weeks out: date, venue, format
Settle the date and the venue first, then the format: a seated dinner, a cocktail hour, or both. Ask the venue what it already provides, its delivery windows and whether it asks vendors for proof of insurance. We can provide proof of insurance for your venue.
| When | What to settle | Rentals |
|---|---|---|
| 6 to 8 weeks | Date, venue, seated or standing | Ask the venue what it provides |
| 4 to 6 weeks | The look of the table | Send a first list or pick a bundle |
| 2 weeks | Final headcount | Adjust quantities, add spares |
| Week of | Timings and access | Confirm delivery and pickup windows |
| Late? | Anything | Same-day prep when the pieces are free |
Four to six weeks out: choose the table
This is the point to pick a look and send a first list. Our holiday bundles are a quick starting point, and each can be changed piece by piece. A list sent now holds nothing, but it tells you early whether the pieces you want are free for your date.
To book, we take a 50% non-refundable deposit. Items can be canceled up to one week before the event, as long as they don't fall under the 50% deposit amount.
Two weeks out: final headcount
Firm up the headcount and adjust quantities. Because everything is rented by the piece, the order moves with the guest list. Add a few spare glasses and plates; a small margin costs little.
Most items are stocked for 300 or more guests, so a late rise in numbers is usually a quantity change rather than a new design.
The week of: delivery and setup
Delivery and pickup windows are set by your request and the venue's rules. We drop off and collect at the nearest drop-off zone unless setup is included; setup is offered with delivery on furniture items, and with it we place chairs, tables and linens where they are needed.
Delivery is quoted at $2.50 a mile for the full round trips, delivery and pickup together. A venue 30 miles from us is 120 miles in all.
Running late?
There is no cutoff, and last-minute orders are welcome. If the pieces are available, we can prepare an order the same day, for delivery or for pickup at our Lincoln warehouse. Send your list and we will tell you what is free.
